Youth and Road Trauma Forum 2009
Briefing for volunteers

Times: 0700 – 1530 (approx) each day
Introduction:
In 2006, Westmead Hospital and NRMA Motoring & Services held a Youth and Road Trauma Forum for years 10 to 12 which was open to all government and non government high schools in NSW and the ACT. The event was held at the Superdome, Olympic Park, Homebush Bay on the 4th –5th April. 4000 students from 31 high schools attended the forum. Students, teachers and media received the event very positively.
2007 saw 10,000 students attend from 86 high schools across Sydney, NSW and the ACT.
2008 saw nearly 12,000 students attend from 103 high schools across Sydney and NSW
The 2009 forum is being held because our youth are being severely injured and dying due to potentially preventable road crashes.
The forum provides students who are most at risk; a realistic look at the trauma caused by road crashes and provides them with information and strategies in an attempt to reduce serious injuries and deaths. The forum’s contents and structure aim to treat young people as adults allowing them freedom to choose from a range of interactive exhibits.
The day will include an exciting combination of demonstrations, crash dynamics and rescue, vehicle stopping distances and active exhibits. The forum will include displays relating to youth trauma and safety
The aim is to help young people make decisions that reduce their risk of being in a crash.
Student numbers:
As you can see, we have a large number of students attending the forum and so we need many volunteers. This is a huge event so please help us to make this forum a safe and beneficial day for our youth. You can assist for one day or every day. You will need to nominate which days you are available to work.
Volunteer tasks: ( These will be allocated before the event)
- Head Ushers (for evacuation purposes)
- Ushers to assist students to seating etc and general assistance
- People stationed at coach parking to assist students
- People stationed at railway station to assist students
- Catering liaison person
- Floor safety Officers x 4
- Assist with security passes
- Assist at loading dock
- Meet and greet
- Assist with makeup for actors
- Man the outside doors during interactive displays
Volunteers need to:
- Sign Acer Arena Security and safety agreement
- Provide insurance details (from place of employment)
- Provide email addresses
- Provide mobile or contact telephone numbers
Food and drink will be provided to the volunteers. This will be available in the Boulevard Café on Club Level, (Level 3).
Volunteers are asked to dress in black for easy identification.
All personnel must be given a security nametag and their name marked off on arrival. You will pick up these nametags up outside the main doors to the grand foyer at the "external cloak room"
Parking is available in Car Park P1 at a subsidised cost of $5.00. You must write your name on the back of the ticket and hand it in to the security along with your $5.00 when you pick up your nametag. The ticket will then be stamped and handed back to you at the end of the day at the same place
Counsellors will be available to any student who is distressed by the scenario and volunteers will be provided with information and access to the counsellors.
We are enclosing a copy of the program, maps to the site, floor plan of the interactive displays and SSD safety card, which needs to be signed by every person involved in the forum and handed back to the person issuing your name tag.
We are also attaching the Grand Foyer Terms and Conditions, which must be read and adhered to. Acer Arena sets these out and any breach of these conditions could potentially be very costly and could jeopardise the contract agreement.
